Hey District Board!

Please read all of this super-important information!

*DUES REMINDERS*

   - In order for a club to qualify for *Early Bird Dues* and receive an
awesome banner patch at DCON, they must register at least 20 members (or 15
if a club has less than 1,000 students at their institution) through the
online processing system online and generate and mail an invoice and the
check for district and International dues for these members to Circle K
International by November 1st (postmark date).
   - Please remind your clubs to mail their updated membership rosters
   and a copy of the invoice to Milan at the following address (Box 1390;
1701 College Ave; Fredericksburg, VA 22401).
   - Also, I got a couple of questions from treasurers about this
particular situation...so, if you have members who have not yet paid their
dues, but you want to go ahead and send in whatever members you have so far
so you can still make the Early Bird deadline, please delete those members
who have not yet paid off of the roster. Then, if they pay later on, you can
go back and click on their name (which will still be there even after they
are deleted with little asterisks by them) and you can later click
"undelete" and they can be added to your updated roster and you can send in
another check. If other people have this question, please inform them about
this, or if you're unsure, just direct them to me and I can help them out ;)

*NOVEMBER BOARD MEETING*

   - Have you read your directives yet? If not, get started ASAP!!
November Board Meeting is coming up, and there are several things which need
to be completed before then. As a District Board Member, it is your
responsibility to read the directives you are sent and to get things done by
their deadlines. *Your Board Book reports are due by midnight on
Sunday, November 4th, and I expect them all to be in on time!*
   - Again, please plan on arriving in Fairfax, VA by 7PM on Friday
evening (November 9th). If you would like to google/mapquest directions,
here is the address (*12404A Liberty Bridge Rd.; Fairfax, **VA
22033-6041*). Please be prepared with all your reports and directives
completed by this time. Those of you with MRFs due during this board meeting
weekend (LTGs and Sam), please have these submitted as well since *there
is no excuse for them to be late*.
   - Don't forget to bring a sleeping bag and pillow, etc. with you for
NBM weekend! Also, please pack according to the dress code for the weekend
(as noted in the earlier e-mail regarding November Board Meeting).
   - We will have individual meetings this weekend where we will go over
the Policy Code and your Service Agreements to see what your strengths and
weaknesses are, and we will complete an evaluation and make note of what you
should be working on during these meetings. Be prepared for this by looking
over your Service Agreements and taking note of what you need to improve.
   - You need to arrive at this Board Meeting willing to voice your
opinions and stay focused and on-task since we have a lot of important
things to get done. If you still have any issues with transportation to NBM,
please let me know ASAP :)

*YOUTH OUTREACH PROGRAM*

   - Have you talked to your Kiwanis Clubs yet??!! If you haven't, you
have to start now!! November Board Meeting is approaching, and right now we
are only a third of the way to our YOP goal and have not even started on our
Convention Sponsorships goal. If this continues, we might have to cut some
stuff for DCON, etc., so please don't let this happen by talking to your
local Kiwanis Clubs about making donations.
   - Please use the updated donor card (which is attached to this e-mail
if you need it) when you are promoting YOP. Remember that Kiwanians can make
individual donations or donate as a club for any amount (although there are
certain incentive levels with various prizes as listed in the flyers). If
you have any questions about YOP, please let me know!

*ANTHOLOGY REMINDER!*

   - Don't forget that we set the deadline for additional story
collections to be this November Board Meeting. If any of your clubs
collected additional stories and gave them to you, please just bring them
with you to the board meeting. Otherwise, you can have them mailed to me at
*Box -0166; Mary Baldwin College; Staunton, VA 24401* and I will
   compile all the other submissions.
   - Remind people that they can still reserve copies of the book here
   http://www.cdcki.org/events/Helping_Hands.htm! We have currently sold
around 20 copies of the book, so, with that, as well as the donations we
have received, the $500 Razoo Grant and the $1,100ish from FTR, we are still
only about 18% of the way to reaching our $10,000 goal.

*EVERYTHING ELSE*

   - Governor's Visits Update: So far, I have attended the Battlefield
Governor's Visit (Sarah's House Project, Sept. 30th), Valley Visit
(VTCKI Formals, Oct 27), and Foothills Visit (DIP Night, Oct 28th). I also
will be at the Tidewater-64 and Ridgeline Divisional Visits this weekend :)
   - Thank you to everyone who attended the Sub-Region F AIM Chat last
night! Kristen should be sending out a recap of this chat over the
Sub-Regional reflector, but here is the really basic recap of what went
   down:

Ø Do you have any ideas for the next Sub-Regional Newsletter? The
first one in November is going to be a Kiwanis-Family Month issue and then
there will be another one with information on socials, in-house service
projects, and if you have any other ideas, you should e-mail Kristen ;)

Ø You can access any files relevant to the Sub-Region using the
subregional GoogleGroup, so please take advantage of this.

Ø Discussion of Dues Incentives and ideas to get clubs to apply: New
York gives prizes and awards to clubs who increase their membership numbers.
Some clubs hold raffles and do fundraisers to lower the costs of their
members' dues.

Ø Be on the lookout for CKI Sub-Region F PodCasts to start coming out!
Also, the introduction of the new CKI web site should be in the coming
month…and it's friendly to color-blind individuals with its new black
background. The online member community will, however, be discontinued, and
other methods of communication are currently being researched.

Ø Kristen Reed is the new Membership Development and Benefits
Committee Chair! Carrie will now be the Secretary for the committee.

Ø A vast majority of clubs, even those with updated contact/advisor
information, did not receive their member ID numbers or back-to-school
mailings. The International Office was unresponsive to my inquisitions
regarding this issue. It will be looked into and we should receive an update
as to what is going on in the next few days :)

Let me know if you have any other questions!
Sneha
